HubSpot Integration

Connect Conference Hero to HubSpot to automatically sync your conference leads as contacts in your CRM. The integration supports two-way field mapping and real-time sync.

Setting Up

  1. Navigate to Integrations in the sidebar (Admin access required)
  2. Click Connect HubSpot
  3. You'll be redirected to HubSpot to authorize the connection via OAuth
  4. Grant the requested permissions and click Approve
  5. You'll be redirected back to Conference Hero with the connection active

How Syncing Works

Once connected, leads sync to HubSpot when they are approved in the review queue. For each lead, Conference Hero:

  • Creates or updates a HubSpot Contact
  • Maps lead fields to HubSpot contact properties
  • Sets lifecycle stage and lead status
  • Tracks sync status (Synced, Pending, Error)

Field Mapping

Conference Hero maps these fields by default:

  • First Name โ†’ firstname
  • Last Name โ†’ lastname
  • Email โ†’ email
  • Company โ†’ company
  • Title โ†’ jobtitle
  • Phone โ†’ phone

Troubleshooting

If a lead fails to sync, check the sync status on the lead detail page. Common issues include invalid email addresses or HubSpot API rate limits. Failed syncs can be retried manually.
